Your Active list now shows only what is moving

One customer’s Active list showed air shipments as “Overdue since Jul 8” in late September. Next to them sat drafts from June and July, some with ETAs months in the past. The list looked full of work that was not happening, and the shipments that really needed attention were harder to find. We changed four things so that Active holds only shipments that are moving.

Drafts have their own tab

Drafts are no longer in Active. A Drafts tab now sits next to it, with a count, and appears whenever you have at least one draft. A search from Active still finds drafts, because if you type a reference you want that shipment whatever state it is in. Drafts are never archived or deleted automatically, since they can hold documents you uploaded.

Shipments long past their ETA are archived

Some shipments stay Validated or In Transit long after the cargo has landed. Tracking stopped, the AWB was never found, or nobody marked them arrived. Trackberry now archives these once their ETA is more than 21 days past for air and road, or 45 days for ocean. Ocean shipments get a longer limit because a month of transshipment delay does happen.

A shipment with no ETA at all is measured from the day it was validated, with twice the limit: 42 days for air and road, 90 for ocean. A shipment added to Trackberry within that period is never archived by this rule. A shipment that a colleague unarchived within that period is not archived either.

Members get an Auto-Archived alert in the notification centre, and by push or email if they have those on for alerts. It says how late the shipment was and how to bring it back. If the cargo is still on its way, open the shipment and click Unarchive. The rule only runs for organisations with auto-archiving on, which is set by Days after arrival in Organization Settings.

Auto-archiving also missed shipments marked In Warehouse, so they stayed on the Dashboard permanently. They are now archived after your Days after arrival, like other arrived shipments.

A No ETA alert for the rest

Until now, a shipment with no ETA from its documents, its containers or the carrier was never late, so nothing ever flagged it. A new No ETA alert now covers validated and in-transit ocean and air shipments. It opens 3 days after validation and turns critical after 14 days. It stops after 42 days for air and 90 for ocean, the point where the shipment is archived instead.

Archived shipments stop polling

Trackberry used to keep asking the tracking service about every shipment, archived or not. Archived shipments are no longer polled. When you unarchive one, its tracking starts refreshing again.

The full rules are in Shipments List & Archiving, and the alert is described in Shipment Monitoring.

FAQ

A shipment I still need was archived. How do I get it back?

Open the Archived tab, or the shipment itself, and click Unarchive. It returns to Active, tracking starts refreshing again, and it will not be archived again for the length of the archive period.

Can I turn auto-archiving off?

Yes. An admin can set Days after arrival to 0 in Organization Settings. That turns off archiving of both arrived shipments and shipments past their ETA.

Why was I not alerted about every shipment that was archived?

The alert only goes out for shipments that crossed the limit in the last week. The backlog of older shipments was archived quietly, so nobody received dozens of emails on the first night.
